Now that many of you have thrown away the clutter as part of our Bin Scan Store Days, you may be left with several important documents or even folders of critical information, so what do you do next?
For small quantities use the MDF printer scanners on site, then bin the paper document using the confidential bins if applicable, or the recycling bins once you’ve checked the scans are correct, readable and complete.
For bulk scanning, you will need to speak to your Floorwalker or Change Champion about using a scanning bureau. To help them work out a plan of action with you, fill in the requirements form so they can better understand any special requirements including the volume and format.
A good example of what meets the criteria for scanning is a group of clearly defined documents, such as case files, invoices, planning applications, or files you access regularly. If you don’t access the documents regularly, being stored off-site could be a more cost-effective solution. Contact firstname.lastname@example.org for advice.
As well as preparing for the move to Colindale, by taking the time to correctly sort your documents, scanning can greatly reduce the amount of time you spend on filing in the future, and is a far more cost-effective, sustainable and secure way to manage information.
